The functionality has been corrected to ensure that the Work Order Line Item Unit Prices are updated and in synch when changes are made to Line Items.
The Line Items tab has been corrected to provide an informational message when the Line Item quantity has been changed and does not match the existing work order record. Any changes to existing line item quantities will be verified against the Work Order Line Items quantity to ensure they match. If they do not, a message will display and the change will not be saved until quantities on both tabs match.
A correction has been made to the General tab of Supplemental Agreements. The Type of Workand Authority For Change drop down lists have been sorted alphabetically.
A correction was made to the Contract Times functionality to properly calculate the Intermediate Contract Time extensions on Supplemental Agreements.
Function Codes will automatically be assigned to Supplemental Agreement Line Items when they are created from Contract Line Items or Master Pay Items.
If Generic Line Items are created for a Supplemental Agreement, the Function Code can not be defaulted and must be assigned by CCU. Pay Records can still be made against the Generic Line Items. (The list of Line Items awaiting Function Code assignment can be seen at Admin > Function Code Assignment.)
The Save As button is no longer available on the original Supplemental Agreement after a subsequent revision has been created. The Save As button is now available on the last Contract Non-Concurrence revision when all subsequent revisions have been Voided.
To provide improved user visibility, the check box for Contract Time Considered Upon Completion of Work has been moved from the General tab to Contract Times tab.
NOTE: If the above mentioned checkbox is not checked (in error) prior to saving the record, the user must delete the existing Contract Time Extension/Prorata Extension record. The checkbox will then be available to check and save a new record.
The Supplemental Agreement Activate process has been corrected to recognize both Pending and Verified Line Items which have the Fuel Adjustment indicator checked.
The Contract Times Tab refreshes when a new Contract Time is inserted onto a Supplemental Agreement. Previously it did not refresh until the window was closed and reopened.
The Non-Participating column has been revised to have a drop-down list of the Current Billing (CB) Codes instead of a check mark.
Corrected the justification in the Comments Box on the SA/FA Documentation and Negotiated Prices and Contract Time Adjustment Reports.
The Supplemental Agreement Report no longer displays the Job Titles and Dates as part of the Signature blocks.Version 5.1 Changes
Removed all names from printing on Supplemental Agreement documentation. Titles will continue to print under the signature line. Removed the Federal Highway signature section from both the Supplemental Agreement and Force Account reports.
Line items on C200 series contracts with ***** in the description can now be manipulated in Supplemental Agreements.
Supplemental Agreement Document printing problems have been resolved.
Users can now delete a Contract Time Extension created in error. This makes the check box for "Contract Time Considered upon Completion of Work" on the General tab available if it had not checked initially.
TO DELETE THE CONTRACT TIME:Click the pencil eraser button on the Tool bar or use CTRL+Delete. This is the same way Line Items are deleted.
The appropriate FHWA representative is now notified of the approval of a Supplemental Agreement on step-by-step projects. When FHWA makes a decision, the Resident Engineer is notified.
The Unit Price can be positive, zero or negative (new). If a negative unit price is entered, the user must confirm that it is correct. The system also allows the following scenario: A negative quantity and a negative unit price which results in a positive amount.
On Contracts whose Work Orders have been merged to a single work order, the remaining work order defaults on the Work Order Details tab.
Negative unit prices are no longer permitted on modifications to existing items.
The Contract Adjustment Details Report Selection window defaults to the Supplemental Agreement/Force Account Documentation Report instead of the Negotiated Prices Report. This report window is accessed via the print button on the Review Supplemental Agreement Detail window.
When you receive the following message, "Please provide the following required information: - Authorized Representative.", then click OK, the message no longer reappears forcing you to exit the application.
When you enter text into the Contractor Authorized Representative field on the Review Supplemental Agreement Detail window, then select a Decision without tabbing out of the Contractor Authorized Representative field, your text no longer disappears.
When you void a supplemental agreement, new line items not saved are voided.
You can only delete all of the line items for a supplemental agreement that is not Approved.
Now when you void a supplemental agreement, the Insert and Delete toolbar icons and menu options are hidden.
You no longer receive an error message requesting you associate work orders when a contract has only one work order.
You can enter a supplemental agreement to specify extra work, altered work, and/or altered unit price by specifying basic supplemental agreement, line item, and work order information. In addition, you can extend existing contract times, modify existing contract times, and/or create new contract times through a supplemental agreement. The supplemental agreement approval is more robust than the approvals for other types of contract adjustments. You can also generate and print supplemental agreement reports.
